How to Write a Thank-You Note: Practical Tips
There are many ways to express gratitude to someone for their kindness. One of the best is to prepare and send a written thank-you note. A short letter or note, whether on paper or in digital form, is an especially thoughtful gesture. But how do you write an effective thank-you note? What should you keep in mind while creating one?
What is a thank-you note?
A thank-you note is a form of communication used to express gratitude to the recipient. It can be formal, semi-formal, or informal.
People write these messages on many different occasions and for various reasons. They are also addressed to a wide range of recipients. With a well-prepared note, you might thank an employer or teacher for their support and kindness, express your gratitude to a business partner for a productive collaboration, or show appreciation for a gift from someone close to you.
Written thank-you messages most often take the form of:
- a letter or text message;
- a greeting card;
- a brief note.
You can send your thanks by post, email, or messaging app. In some situations, however, the best solution is to hand the note to the recipient in person.
The structure of a thank-you note
A written thank-you note usually consists of several elements. These are:
- place and date – traditionally placed in the top right-hand corner;
- the sender’s details – placed on the left, slightly below the place and date;
- the recipient’s details – placed on the right, below the date;
- the salutation – its wording depends on the relationship between the writer and the recipient; in a professional context, it may be Dear Ms Smith or Dear Mr Jones; in other situations, you might write Dear Mum or Dear Tom. For a very informal note, you can simply use the person’s first name, such as Jack, Tasha, or Anna;
- the body of the thank-you note – placed directly after the salutation; it usually begins by expressing gratitude and then explains the reason for it, for example: I would like to express my gratitude for supporting me through a difficult time; Thank you so much for the lovely gift. The body can consist of one or several sentences, but they should not be too long;
- the closing – in formal notes, this might be Yours sincerely or Kind regards; in semi-formal and private messages, you could use Best wishes or Best;
- a handwritten signature – placed below the closing.
These elements are especially important in formal thank-you letters. In semi-formal and private notes, you can leave out some parts, such as the place and date or the sender’s and recipient’s full details.
Writing thank-you notes in practice
Before you start writing a thank-you note, you need to consider several important points. The most significant include:
- personalisation – adapt the style, language, and format of your message to the recipient and the occasion; avoid relying on generic phrases copied from the internet;
- brevity and substance – shorter thank-you notes that focus on the key points are generally better received;
- sincerity and timeliness – use clear and easy-to-understand language; a written thank-you note should reach the recipient within a week of the event, such as receiving a gift or being given a favour;
- linguistic accuracy – your thank-you note should not contain typos, spelling, punctuation, factual, or grammatical errors.
It is also worth remembering that English does not capitalise pronouns such as you when addressing the recipient directly.
In English, a salutation is usually followed by a comma in less formal correspondence, or no punctuation in many modern business letters. The next sentence begins with a capital letter, for example: Dear James, Thank you so much for all the years we have spent together… or Dear Ms Smith, I would like to express my sincere gratitude for your helpful comments and suggestions….
Useful phrases for thank-you notes
As mentioned above, the content of a thank-you note should be adapted both to the recipient and the nature of your relationship with them, as well as to the occasion. A note to an employer, business partner, or colleague will look different from one addressed to a family member or friend.
Formal thank-you notes
Formal thank-you notes may include phrases such as:
- We are sincerely grateful for your assistance;
- We appreciate your kindness more than words can express;
- Your commitment has had a positive impact on my life and my family’s. Thank you from the bottom of my heart;
- Thank you very much for your valuable contribution and support for this initiative…;
- Thank you for your outstanding commitment and dedication to the project.
